01 / Who we are
Who is responsible for your information?
GMK Transport & Recovery is a trading name of GMK TRANSPORT GROUP LTD, registered in England and Wales under company number 16023372. The company is the data controller responsible for the personal information used to respond to enquiries and arrange our vehicle transport and recovery services.
Registered office and postal contact: 4 Russet Drive, Little Billing, Northampton, England, NN3 9TF.
This notice explains our handling of personal information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, as amended. Rules on cookies and electronic communications also apply where relevant.
For privacy questions or requests, email [email protected] or call 07710 476 188.
02 / Information we use
Details relevant to your enquiry or move
Depending on what you ask us to do, the information you provide may include:
- Your name, telephone number, email address and the contents of your messages.
- Collection and delivery addresses, contact names, access instructions and requested dates.
- Vehicle registration, make, model, condition and photographs you send to explain the job.
- Booking details, agreed prices, invoices, payment references and correspondence about the service.
We normally receive this information from you. A person arranging a collection or delivery may also give us the relevant recipient’s or site contact’s details. Only share other people’s information where you are entitled to do so, and let them know about this notice.
You do not have to provide information just to browse the website. To quote for or carry out a job, we need enough contact, vehicle and location information to assess and arrange it. Without those details, we may be unable to help. Please avoid sending identity documents, card details or sensitive medical information in an ordinary enquiry.
03 / Purposes & lawful bases
Why we use personal information
- Enquiries, quotes and bookings: to discuss your requirements and provide the service you request. Our basis is taking steps at your request before a contract, or performing a contract with you (Article 6(1)(b)).
- Business and third-party contacts: to coordinate a collection or delivery where you are a contact for someone else’s booking. Our basis is our legitimate interest in communicating with the people needed to complete the job (Article 6(1)(f)).
- Service issues and security: to investigate problems, handle complaints, protect the website and establish or defend claims. Our basis is our legitimate interest in operating a reliable service and protecting people, property and our business (Article 6(1)(f)).
- Required records and disclosures: to meet applicable tax, accounting or other legal duties. Our basis is compliance with a legal obligation (Article 6(1)(c)).
Where we rely on legitimate interests, we must consider your interests and rights alongside our own. Contacting us does not itself mean you have consented to marketing. If we ask for consent for a separate purpose, we will explain that purpose and how to withdraw consent.
04 / Website & cookies
What happens when you browse?
The server delivering this website may record technical information such as your IP address, browser details, requested page, response status and time of access. This information supports delivery, fault diagnosis and security, based on our legitimate interest in keeping the website working safely.
The current website does not use advertising cookies, analytics trackers, embedded maps or social-media widgets, and the website code does not set cookies or use browser storage. The phone, email and WhatsApp buttons are links: they open the relevant app or service when you choose them. Those services may then collect information under their own privacy notices.
The quote form keeps the details you type in the current page only. To calculate mileage, UK postcodes are sent to our server. In the free routing mode, Postcodes.io receives the postcodes and the OSRM routing service receives their coordinates. If Google routing is enabled, Google receives the postcodes instead. Route results are temporarily cached for up to 24 hours; a hashed network address is used for request limiting. Hosting access logs may also record postcode queries. Names, contact details, street addresses and vehicle details are not sent to routing providers. Choosing a manual quote avoids these route lookups.
When you choose WhatsApp or email on the review step, the request is passed to that app. You must send it there to deliver it to us. This website does not store completed quote enquiries or automatically confirm bookings.
If cookies or similar technologies are introduced, this notice will be updated and consent requested where the law requires it. You can also manage cookies through your browser settings.
06 / Retention & security
How long is information kept?
Retention depends on the purpose of the record. For enquiries that do not become bookings, the relevant factors are whether the enquiry remains active and whether follow-up or a complaint needs to be resolved. For completed jobs, relevant factors include accounting and tax requirements, contractual obligations, insurance matters and the period in which a claim may arise.
Technical logs are relevant for as long as needed to investigate faults, abuse or security incidents. Information should be deleted or anonymised when it is no longer needed for its purpose, unless a legal requirement or an active dispute requires it to be kept. Ask us about the retention period applicable to a particular record.
Personal information should only be accessed or shared where needed for the relevant work. No method of communication is completely risk-free; please contact us before sending particularly sensitive information.
07 / Your rights
Choices and control over your information
Depending on the circumstances and the lawful basis used, you can ask to access your personal information, correct inaccurate or incomplete information, have information erased, restrict its use, or receive certain information in a portable format.
Your right to object: you can object to processing based on legitimate interests for reasons relating to your situation. You can object to direct marketing at any time.
If processing is based on consent, you can withdraw it at any time without affecting the lawfulness of earlier processing. Rights are subject to legal conditions and exemptions: for example, an erasure request does not necessarily override a duty to retain accounting records.
Contact us using the details below to exercise your rights. We may need to confirm your identity. We normally respond without undue delay and within one month, subject to the timing rules and extensions permitted by law; if an extension applies, we will explain why. There is normally no charge.
This website does not make automated decisions about you that have legal or similarly significant effects.
